We understand that the COVID-19 pandemic is causing significant disruption across supply chains. Here at SLCP we want to do everything we can to best support facilities and their business partners at this extremely difficult time.
We have made changes to the SLCP assessment and verification process in order to provide maximum flexibility to SLCP users during the pandemic. We continue to monitor the situation carefully and will make further changes to our policies if necessary.
With regards to the assessment process
In order to ensure high quality verified data, SLCP has previously had a strict rule that verification has to take place within two months of completing and submitting a self-/joint-assessment. This is just one of the many measures SLCP has in place to ensure that the data in an SLCP verified assessment is accurate, up-to-date, and can be trusted and relied upon by a facility’s buyers and stakeholders. We understand however that it will be difficult for many facilities to meet the two-month deadline for verification in 2020. For this reason, we have made the following changes to SLCP guidance.
- Facility controls the clock: We now advise facilities to only select the “Assessment Completed” button on their Accredited Host platform once they have found a Verifier Body to do the verification and have set a date for the verification. This way, the facility has full control over when the two-month window starts.
- Relaxed rules on status changes: It was previously impossible for facilities to change the status of their assessment back from “Assessment Completed” to “Assessment Initiated.” We have now relaxed this rule to accommodate the needs of facilities who face an unexpected delay in verification. Now, if the assessment is already in the “Assessment Completed” status but a facility needs to make changes to the self-/joint-assessment to accurately reflect the facility’s social and labor conditions before verification, they can send a request via the helpdesk to change the status back to “Assessment Initiated”.
- Verifying when the time is right: In terms of scheduling verifications, we advise facilities to ensure that they have the appropriate management staff available to support the Verifier during their visit, and have employees available for interviews.
With regards to the verification process
We have instructed Verifiers to coordinate with facility management to better accommodate the special circumstances caused by COVID-19. For facility profile information, or any unusual facility operations during the coronavirus situation, Verifiers will ask facility management if they want to add any special notes to the verified assessment to explain these unusual circumstances. The Verifier will work with facility management to ensure any special notifications/ comments are added to the “Verification Details” section or the specific data points in the verified assessment. This will ensure that there is no negative impact on the facility’s verified report.
With regards to training
As in-person training is impossible at the moment and facilities (and other SLCP system users) did indicate they are in need of training, SLCP is launching a training webinar series. We offer an introductory session for facilities that want to know more about SLCP, as well as deep-diving sessions for facilities that are already engaged in the SLCP process.
