A facility plays an active part in the SLCP verification process. This article explains what are your responsibilities as a facility before, during and after the SLCP verification.
Each facility plays an active role in the SLCP verification process. During verification, SLCP approved Verifiers verify the answers you submitted in the Data Collection Tool during your self/joint-assessment. This is important as:
- it ensures accuracy of facility assessment data
- includes additional information if needed, as well as determines any legal compliances
- helps lay strong foundation for improvement plans
Here you will find all the relevant information on how to prepare for your verification as a facility, what to do during the on-site verification and what's expected of you once the verification is completed.
Before the verification
To ensure a smooth verification process, you must complete the following technical and logistical preparations:
- Select your Verifier Body: Pick an approved Verifier Body (VB) from your VB selection list. Once you’ve decided, contact them directly to discuss fees and complete a contract. After this is done, select your chosen VB directly on your active Accredited Host (AH) platform. You can find more guidance on how to select your VB in this support guide.
- Schedule the onsite visit: Coordinate with your chosen VB offline to set a date for the onsite verification. This visit must occur within two months of finishing your self-assessment or joint-assessment.
- Grant data access: Make sure your Verifier can access your completed assessment and all supporting documentation on the active AH platform at least 10 working days before the verification window starts. Your Verifier gains access automatically once you select them as your VB and formally submit your assessment on the active AH platform.
During the onsite verification
During the onsite verification, your team must cooperate closely with the Verifier to build a complete record of your workplace conditions:
- Provide site access: Support the Verifier or verification team by granting full access to your physical facility, operational documents, and staff members.
- Address questions immediately: Discuss any questions or data discrepancies with the Verifier while they are onsite, making sure to resolve them by the closing meeting at the latest.
- Review the preliminary summary: During the closing meeting, the Verifier will share a preliminary Verification Summary with you. This is a summary of all items the Verifier marked as "Inaccurate" or noted as a "Non-Compliance", based on local legal frameworks or international labor regulations.
After the verification
Once the onsite visit is complete, you need to review the final report before you can share it further with your customers and third-parties.
Below is a summary of the steps a facility needs to take after the verification has taken place:
- Receive the report: The Verifier will upload your verified assessment report to the active AH platform within 10 working days after leaving your facility.
- Review window: You have exactly 30 calendar days from the date you receive the report to thoroughly check the data. During this stage we advise you to at least check the During this window, you must take one of three actions on the platform: Request Edits, Dispute, or Accept the report. - Finalize the data: If you do not take action within your 30 calendar days, you lose the ability to request edits or dispute the findings, and you will only be able to accept or delete the record. To finalize your report, review the document one last time and manually change the status to finalized on the gateway. Once finalized, the document is locked and can no longer be altered.
- (Optional) Completing verification survey: You can share feedback by completing the survey you receive after the verification.
